Team Representative Duties

Please ensure you understand the expectations for Team Representatives prior to applying for a position.

How are team reps selected?

  1. Parents may sign up at welcome night to volunteer to be a team rep.
  2. Two reps are selected for each team.
  3. Team reps vary each season. We will select new reps each season unless new team reps do not apply.
  4. In the event that several parents apply, the team reps will be randomly selected to maintain a fair process.
  5. Team reps are encouraged to work together so the position does not become a burden to any particular rep.

Background Checks

  1. Background checks can be completed at Clearchecks.com and are paid by the rep. These should be submitted to the all star director no later than June 1.
  2. Team reps who have a background check from the Missouri Department of Education or Missouri Department of Child Services may submit a copy of their background check through that organization as an alternative. Note: In the event that The Open were to no longer accept these, you would be required to provide one through ClearChecks.
  3. Team Reps are responsible for submitting a new background check if theirs expires at any point prior to May 31, 2025.

Competition Assistance

One team rep will be selected for each competition to assist the coaches with their team in the warm up area. Team reps are responsible for the following:

Administrative assistance at competitions may include:

      1. Taking attendance at competition as athletes arrive
      2. Helping parents who are running late or lost finding the venue and/or struggling with hair/make up
      3. Setting the gathering spot and ensuring athletes/parents know where to pick their athletes up after the kids compete
      4. Ensuring all Tiny, Mini and Youth athletes are released ONLY to their parents or a designated guardian
      5. Gathering athletes for awards and ensuring they are released to a parent afterwards
      6. Collecting and passing out athlete participation gifts, jackets or any other awards
      7. Hold items for athletes such as medication, inhalers, KT tape, etc. Team reps are not responsible for holding water bottles in warm ups
      8. Team reps will be given a small tote bag to hold participant gifts. Each bag will have a clipboard with a team roster, a pen and a highlighter.

Assistance in Warm Ups

  1. Pinning/repinning bows between mats or prior to taking the stage
  2. Taking pictures for the team page
  3. Tying shoes
  4. Watching/carrying water bottles
  5. Taking athletes to the bathroom
  6. General coaches’ support as requested
  7. Please ensure none of these tasks are a distraction to the team or take away from our warm up time

Team Bonding Events

  1. 1-2 events throughout the summer
  2. 3-4 throughout the school year. Examples: team movie, bowling, park, dinner, etc.
  3. Athletes are expected to pay their own way. Please keep cost in mind when planning events.
  4. Please ensure ALL parents have been notified equally of these events and are given at least two weeks notice.
  5. Team reps are not responsible for hosting these events or paying for anyone outside their own child.
  6. Holiday parties: These should be scheduled and released to teams 45 days prior and the front desk should be notified. Please offer for other parents to help with snacks, games, crafts or any other activities to involve as many people as possible. One holiday party should take place between November and January and can celebrate Friendsgiving, Christmas and/or New Years.
  7. Don’t stress if the whole team can’t make any of these events. Your job is to coordinate them, but we do not expect you to work around everyone’s schedules.

Team Gifts or Goodie Bags

  1. Parents may ask for donations to the goodie bags, but may not ask for money
  2. Please ensure our logo regulations are followed for all goodie bags
  3. OK if not everyone participates, but every child should receive a bag (even injured athletes who are attending competition). This should not be a financial burden on the team reps.
  4. Goodie bags are not expected at any competitions. This is an extra task if you choose to do so and can easily be delegated to other parent volunteers who may be asking how they can help

Occassional Practice Assistance

  1. Pre-season fitness tests, winter break fitness tests and spring break fitness tests
  2. Games or projects during rainbow week or pre-competition week

Assisting New Parents

This may look like:

    1. Act as a mentor & guide them through it
    2. Be a go-to person to help on competition day
    3. Be a “team player” with all other teams and programs as much as possible

What are you NOT responsible for?

  1. Handling problems among/between parents and athletes.
  2. Representing any other parents’ concerns. (We believe it’s important for parents to address any concerns individually so we can take care of each person’s individual needs.)
  3. This should be a rewarding experience and not a burden. Drama is not part of our core culture at Twisters, and it should never be your problem to deal with.

Understanding of Volunteer Position

Compensation

    1. The smile on your child’s face 🙂
    2. In the event that Twisters does not need all coaches’ passes for a competition, the team rep selected for that event will receive a free pass into the event.
    3. Team reps who have athletes who are crossovers will first be selected as there often are a limited number of free passes available.
    4. Example: If there are 9 team reps and only 6 coaches bands available, they will first be given to crossover parents who can represent more than one team. After that, the remainder will be drawn at random from the teams who need a representative.
    5. These bands are provided by the event producer and are never guaranteed. In the event that a coaches’ band is cheaper than the spectator entry fee, the team rep may pay the gym and we will provide the coaches band.
    6. Team reps will be given a $25 gift card at the end of the season as a “thank you” for your support. Please note, this is a small item, but our appreciation is huge!

Volunteer position

      1. This is 100% a volunteer position and at no time is a team rep obligated to maintain this position.
      2. This position is for the safety of the team and acts as a checks-and-balances in our warm up room and during team events.
      3. This is designed to build morale and add value to the culture of our program.
      4. We understand jobs and personal obligations change throughout the season. We NEVER want you to get burned out. If you feel that happening, please reach out to Caitlyn so she can provide an alternative rep for the remainder of the season or for a sabbatical.
      5. Team reps are expected to follow all rules and encourage others to do the same. Reps who engage in activities within the gym that do not support the values of the gym will be asked to step down.
